Duties and Responsibilities:
An Administrative Officer is responsible for assisting our Human Resource, Accounting, Operations, IT and Administrative Team by completing a variety of administrative tasks.
Supports the Team in effectively communicating the vision and mission of the company.
Tasks include but not limited to;
General Task
- Efficiently managing his/her schedules, answering phone calls and correspondences, handling inquiries whenever possible, and/or directing callers to appropriate party.
- Ensures that all are properly executed as per the general services’ strategic plans/goals/process standards.
- Ensuring that company procedures and policies are being observed within the department and in the operations
- Prepare correspondences (letters, transmittal documents) if needed
- Assist IT, HR and Admin on logistics for equipment dispatch and return.
- Act as the caretaker/ maintenance of the site
- Carry out suitable and sufficient risk assessments in line with company procedures prior to work being undertaken
- Handles processing, distribution, and inventory of maintenance and facilities supplies
- Responsible for assisting and monitoring Housekeeping/Sanitation.
- Support planning and coordination of program and engagement activities (Monthly, Summer, Yearend and/or Team Activities)
Compliance Officer
- Work hand and hand with the Admin Team to ensure all government-related compliance are attended and complied with in a timely manner.
- Coordinating with Local Government Units in processing building permits, barangay clearances, business clearances, and other requirements for Makati site only
- Preparation, filing, and documentation of the necessary requirements for said transactions.
- Keep up-to-date references of the government units’ processes and procedures relating to corporate registrations and compliance in Makati
Requirements
- Average verbal and written communication skills
- Detail-oriented and efficient
- At least 2 year(s) of working experience in the related field is required for this position.
- Computer Literate, can work under pressure and with minimal supervision
- Basic Knowledge Microsoft Office (Word/Excel/PowerPoint) or Google Docs
- Experienced in Administrative Support or equivalent
- Experience in processing to any government agencies like BIR, SEC amp; PEZA, etc. is an advantage.
- Ability to prioritize, work to tight and challenging deadlines, and manage complex and multiple pieces of work.
- Ability to manage time effectively.
- Enthusiastic with energy and drive, Self-motivated and able to work with minimal direction.
- Ability to manage multiple tasks within given time frames.
- Create and maintain filing systems, both electronic and physical.
- Willing to travel
- Ability to work in team
