Summary of Role
The FAO Admin is responsible for facilitating workstation deployment to new hires, workstation retrieval from leavers, and tracking/reporting the status of deployments/retrievals.
Summary of Responsibilities
- Facilitate end to end workstation deployment
- Delivery address confirmation
- Fund request/Purchase order generation for deployment
- Confirmation of delivery date
- Check workstation status with IT
- Check workstation packing prior deployment
- Gate pass preparation
- Facilitate actual delivery via courier
- Liaise between courier and onsite staff/courier and recipient (employee)
- Liquidation of funds used for deployment
- Facilitate end to end workstation retrieval for leavers
- Callouts and emails to former employees to initiate retrieval
- Pick-up address confirmation
- Confirmation of pick-up date
- Fund request/Purchase order generation for retrieval
- Gate pass preparation
- Facilitate actual retrieval via courier
- Liaise between the courier and former employee/courier and onsite staff recipient (Security or Maintenance)
- Liquidation of funds used for retrieval
- Conduct house visits for unresponsive employees
- Coordinate and/or report to local government unit (barangay) instances when former employee could not be located or is not cooperative
- Endorsement to legal if and when applicable
- Update device deployment trackers and reports

- Ensure that any communication, written or oral, internal or external, is effective, courteous, and professional.
- Timely and effective communication of new processes and procedures or changes to processes and procedures to team members.
Use of Resources
- Ensure you and your team are aware of all processes, procedures, and technical documentation relevant to your department.
- Immediately escalate to your manager if you identify any shortcomings in your resources.
- Ensure that any channels of escalation are utilized in line with the defined processes and procedures and that any issues with these are highlighted to your manager.
Additional Responsibilities
- Ensure you have a complete understanding of the transcosmos procedures.
- Awareness of Health and Safety within your area.
- Awareness of the transcosmos Staff Handbook.
- Awareness of transcosmos' values and objectives.
- To provide proactive ideas, input or advice when appropriate, or necessary, to your manager.
- Report back to your manager for advice and direction if there are any issues on a day-to-day basis with the responsibilities defined.
- Undertake additional tasks as requested by your manager.
