About the role:

We are seeking an Executive Assistant with an exceptional command of the English language and meticulous attention to detail. The ideal candidate will provide comprehensive support to the company's two founders, assisting with both professional and personal tasks to streamline daily activities and enhance productivity.

Professional Assistance:

• Oversee scheduling and management of business appointments, reminders, and to-do lists.

• Maintain an effective follow-up system.

• Organize business opportunities, listings, projects, etc.

• Organize, add and edit companies and contacts in our customer relationship management software

• Develop processes in our training software for streamlined operations.

• Plan and manage work-related travel to include airfare, car rental, hotel reservations, as well as conference registrations, networking events, etc.

• Handle email correspondence, including sending and responding to emails.

• Organize and categorize company documents and files, as well as data rooms we share with clients.

• Assist with data entry and administrative tasks, including budget spreadsheet maintenance.

• Source and order gifts for clients.

• Organize professional gatherings such as lunches, dinners, and meetings with clients and employees.

• Coordinate restaurant bookings and lunch orders.

• Schedule meetings with contacts prior to conferences.

• Creating, analyzing and sending reports to clients.

• Invoice creation, payment reminders, and tracking expenses.

• Research duties such as market research, competitor analysis, or sourcing information for projects.

• Preparing and formatting presentations or reports.

• Personal errands that can be managed online, such as scheduling personal appointments or making online purchases.

Scheduling and Calendar Management:

• Oversee scheduling and management of business appointments, reminders, and to-do lists.

• Schedule meetings with contacts prior to conferences.

Travel and Event Coordination
