Position: Supply Chain Coordinator

Working hours:US business hours

Salary Range: USD 900 - 1,500/month

About the role:

The Supply Chain Coordinator is responsible for the coordination and execution of daily order management, booking and management of freight, communication to partners, and performing inventory management tasks. This person will proactively resolve or escalate issues working in DEAR and will place purchase orders (POs) and manage adjustments as needed. This role must be familiar with basic warehouse, purchasing, freight and finance activities and practices.

Duties and responsibilities:

Order Fulfillment

  • Act as the point of contact for order fulfillment inquiries and provide timely responses to customer and sales team inquiries
  • Process Purchase Orders, Sales Orders and Transfer Orders . Review all orders for accuracy, minimum order quantities, and lead times.
  • Build strong relationships with and maintain good communication with buyers, 3PL, co-manufacturer and logistics partners.
  • Ensure on time delivery - provide weekly summaries of Open Customer POs, ensuring that dates and quantities are updated based on supplier confirmations.
  • Escalate risks to PO delivery dates as needed
  • Address any in-transit issues, be able to assess impact and communicate outcome to all parties
  • Keep tabs on all shipments to guarantee they reach their destination on schedule
  • Assist in investigating any past due or open POs

Inventory Management

  • Create vendor purchase orders according to inventory plan
  • Communicate directly with warehouses regarding receipts.. Ensure packing lists provided to warehouses prior to receiving and ASNs are completed.
  • Receive all orders into A Pup Above’s ERP while also analyzing variances in quantity. Address inventory discrepancies promptly.
  • Main point of contact for Inbound inventory levels; responsible for ensuring 3-way match of goods received between Vendor, DC, and internal finance team
  • Provide weekly report of open vendor POs
  • Gather inventory data for monthly inventory reconciliation with Supply Chain Manager

Transportation

  • Coordination and arrangement of freight (FTL, LTL)
  • Ensure all legs of transportation are booked and happen on time
  • Responsible for quality control of inbound shipments to ensure they arrive in both needed timeframe and fashion (proper pallet labels, packing slips, commercial invoices, shipment documentation, etc)
  • Maintain comprehensive tracking dashboard for all outbound and inbound shipments, including costs, as well as provide weekly reporting to internal and external teams

Data Management

  • Add/enter new SKUs into ERP
  • Update supplier information such as MOQs, lead times, product ranges as needed
  • Assist with tracking vendor and warehouse performance KPIs
  • Assist with master Data Management (BOMs/UPCs)
  • Support Supply Chain Manager with other data management tasks as needed

Requirements

  • 2+ years of experience in supply chain coordination
  • Previous CPG experience strongly desired (Consumer packaged goods(CPGs) is an industry term for merchandise that customers use up and replace on a frequent basis. Examples of consumer packaged goods include food, beverages, cosmetics, and cleaning products.)
  • Strong proficiency in MS Office Suite proficiency in Excel
  • Experience with DEAR Inventory system plus
  • Experience with ERP/MRP systems - plus
  • Detail oriented with strong decision-making skills
  • Strong interpersonal and teamwork skills to work and communicate effectively cross-functionally with multiple groups
  • Results driven and able to ‘put out fires’
  • Must be agile, curious, ready to learn and have a driven attitude
