Hi! We’re Smartsourcing, and we’re looking for a Finance Assistant who can work with us full-time and on-site!

As a Finance Assistant,

You will be responsible for managing accounts payable, overseeing webstore activities, and assisting in contract entry processes. You will play a crucial role in ensuring accurate financial transactions, timely payments, and efficient coordination between various teams.

Some of the things we’d expect you to do are to

Accounts Payable

  • Manage accounts, handling bills and webstore orders.
  • Invoice forwarding, coding and approval
  • Manage invoices in Xero
  • Verify and update bank account information on invoices.
  • Prepare creditor batches for payment every week.
  • Monthly statement reconciliation from vendors and suppliers

Webstore

  • Online payment monitoring
  • Order confirmation from various suppliers.
  • Import and edit invoices in Xero.
  • Reconcile with supplier bills, managing variations to vendor payments.
  • Identify and recode Xero orders for specific agents eligible for credit.

Contracts Entry

  • Receive, check, and process sale amp; purchase agreements, sales questionnaires, and transaction reports.
  • Ensure sales questionnaire data matches the sale amp; purchase agreement and is approved by the branch manager.
  • Update owner and purchaser details, converting listings, adding solicitors, modifying sale details, checking commission details, adding conditions and dates, entering referrals or deductions, checking office splits, updating agent splits, and generating front sheets.

We would need you to be or have the following

  • Bachelor's degree in Accounting, Finance, or related field.
  • Proven experience in accounts payable and webstore management.
  • Proficient in using ApprovalMax and Xero.
  • Strong attention to detail and organizational skills.
  • Excellent communication skills for coordinating with internal teams and external vendors.
  • Ability to work independently and meet deadlines.

It would be awesome if you are or also have:

  • Familiarity with real estate transactions and related documentation is a plus.
