Job Description

Sigrid is currently in search of a Part-Time/Freelance Executive Assistant fluent in Spanish. The primary responsibility entails offering top-tier administrative support to our executives to maintain the organization's seamless operation. You will play a pivotal role as a liaison connecting our executives with internal and external stakeholders, underscoring the importance of effective communication in both English and Spanish.

We use MySigrid, our proprietary Collaboration amp; Task Management Platform, to solve tasks efficiently and collectively - improving quality, reducing human error, and increasing speed.

The dedicated VA will help manage and coordinate work, personal, and family logistics., and is supported by our entire team of Virtual Assistants and Specialists for specialized and critical tasks.

We also guarantee seamless continuity, which means that another VA will step in and provide care when the dedicated VA is on leave. This gives our clients the freedom and headspace to focus on the things that really matter.



YOUR ROLE AS AN EXECUTIVE ASSISTANT

The Executive Assistant’s primary duty is to ensure that all stated, unstated, and anticipated needs of the clients are cared for and actioned with the highest quality, regardless of who worked on the task. You will be responsible for managing the client and their expectations, managing usage and available resources, and promoting the values of Sigrid.

As an Executive Assistant, you will be expected to perform the following:

  • Build strong business relationships with your clients by ensuring high-quality work on all tasks, regardless of who worked on them.
  • Manage client complaints and resolve issues effectively and in a timely manner.
  • Manage the client's usage through proper planning and setting the client’s expectations. Consequently, increase the usage of underutilized accounts by working closely with the Customer Success Manager.
  • Ensure timely and high-quality resolution of all tasks, in compliance with Sigrid’s SOPs.
  • Perform a daily overall health check on each client’s account.
  • Manage resources through proper delegation and monitoring of work quality.
  • Effectively manage day-to-day work, primarily focused on account clean-up, task resolution, and time management.
  • Identify learning opportunities and coordinate with the Customer Success Manager to put together a recommendation for the company’s overall improvement.
  • Ensure the quality of work of all staff on all client-related tasks.
  • Ensure that the client’s preferences and information are captured and stored securely in compliance with our SOPs.

The Training Program is designed to equip the Executive Assistant with the vital skills required to deliver high-quality service to all clients at all times.

Requirements

As a minimum, we expect candidates to meet the following requirements:

  • 3 years experience in an administrative role in any industry
  • A high level of spoken and written business English and Spanish: the ability to use the language fluently and accurately on all levels and as normally pertinent to professional needs; the ability to understand and participate in any conversation within the range of one's own personal and professional experience with a high degree of fluency and precision of vocabulary
  • Excellent time management skills: knows how to prioritize work and is able to multitask to get things done in an efficient manner
  • Can handle research, preparation of presentations, data entry, maintenance and monitoring of memberships, online accounts, and bills payable.
  • Proficiency in digital content creation, as the candidate actively participates in the digital domain, conducts live hosting, and necessitates concurrent interpretation and translation skills in English to Spanish and vice-versa.
  • Proficiency in MS Office and web-based applications.
  • Has high attention to detail.
  • A strong sense of customer service and enjoys anticipating the needs of others.
  • With strong analytical skil
