About the job:

As an Order Fulfillment Specialist you will be responsible for the management of the organization's logistics system, coordinate the shipment and distribution of goods, inspect goods and materials, track shipments, manage inventory, and communicate with customers and third-party service providers.

Roles and Responsibilities:

• Review and process into company ERP (Odoo) all customer purchase orders and sample requests
  • Review
    • Using the Order Standards, check that all information supplied by the customer is correct. (ie billing info, ship to address, SKUs, pricing, custom logo). When information is missing/unclear, check with the Account Executive.
    • For cases requiring custom logo embossing:
      • Coordinate with designer to have the approved logo design file created
      • Send design file to warehouse to have the cases personalized
  • Process
    • Check current inventory levels and warehouse locations and either submit the order to warehouse/s, or submit new product purchase requests to suppliers.
      • Orders are submitted via:
        • Email (for customized orders)
        • Google Sheets
        • Trello
        • Warehouse Management Systems (WMS)
• Communicate with customers to provide accurate order status updates (ETA / shipping information).
• Monitor and own on a daily basis the status of all open orders, and swiftly resolve any issues that may arise.
• For orders shipped from international warehouses, solicit shipping quotes from China/ Shipping Partners, review pricing and timing, where necessary make recommendations to COO, monitor shipping from departure to delivery
• Interface with Custom agents, shippers, Fedex etc to resolve shipping issues.
• Send each customer order status updates at designated milestones;(ie. Receipt of PO, Shipping Acknowledgement and Confirmed Delivery).
• Maintain ongoing communication with each Account Executive regarding orders placed by their customers.
• Proactively inform the Account Executives of any shipping, customs or production delays that may impact the ability to meet our shipment commitment and discuss potential solutions.
• Participate in twice weekly status meetings
• Liaise as needed with the Order Fulfillment Manager to escalate issues proactively

Requirements

• Strong computer knowledge including spreadsheets, word processing, order entry, inventory and ERP systems (preference towards those that have used Odoo before)
• Strong math, analytical and problem-solving skills required
• Proven ability to prioritize multiple tasks and follow up consistently
• Strong oral and written communication skills
• Ability to utilize our technology and stay current with our technology training
• Ability to take ownership of the details large and small
• Decision making that demonstrates good judgment
